Data protection regulations

Important Notice: Please be advised that only the German version of the data protection regulations of ZSBH is legally binding. The English version is for information purposes only.

 

The Center for School, Education, and Higher Education Research (ZSBH), of Johannes Gutenberg University Mainz (address: Colonel-Kleinmann-Weg 2, 55099 Mainz, Germany) is responsible for processing your data.

Personal data that you provide is processed for various purposes. Depending on the purpose in question:

  • the data that we store from you may vary
  • the legal basis for processing your data may vary
  • the transfer of your data to others may vary
  • the storage period of your stored data may vary

In the following text, we present to you pertinent information for recipients of newsletters, workshop and event participants and (external) speakers and experts.


Recipients of newsletters

Purpose: distribution of newsletters and other information through email mailing lists.

If you are a member and/or have a subscription to our newsletters or wish to receive information about our offers, the following data is stored:

  • Your email address
  • Your first and last names

Your personal data will be processed in order to facilitate the organization of newsletter distribution.

Legal basis for data collection, storage and processing As a rule, you authorize us to process your personal data (written user consent) in accordance with Article 6, subsection 1, letter a of the GDPR data protection regulations (Datenschutz-Grundverordnung, DS-GVO).
Transfer of your data The members of ZSBH staff, who are responsible for the purposes stated above, have access to your data. Transfer of your data to third parties is prohibited.
Storage period/deletion of data If you decide that you no longer want to receive our newsletters and/or information about our offers, simply send us an informal written document (either by mail or by email). Your email address will then be deleted from our newsletter database/email mailing list by our administration. Your email address will also be deleted from the newsletter data base/email mailing list, if we make multiple, unsuccessful attempts to send our newsletters to you. In other cases that may apply, we store your personal data only for the time period during which we provide you with information through our newsletters and emails.

Workshop and event participants

Purpose: organization of your participation in our workshops and events.

If you want to participate in workshops and/or take part in events that are organized by ZSBH, we store the following personal data from you:

  • Last name
  • First name
  • Academic title
  • Email address
  • Gender
  • Institution/organization that you are affiliated with/that you work for
  • Name of the workshop and/or event that you want to participate in or have participated in
  • Date of the workshop and/or event that you want to participate in or have participated in
  • Phone number
  • Area of expertise/specialty
  • Subject/subject area

We process your personal data for the following reasons: The organization of registration and participation records for workshops and/or events, the issuance of certificates of participation after the said workshop and/or event and issuance of proof of your attendance for our records.

Transfer of your data The members of ZSBH staff, who are responsible for the purposes stated above, have access to your data. Transfer of your data to third parties is prohibited.
Storage period/deletion of data As a rule, your personal data will be stored for a period of 10 years. This is done in order to ensure re-issuance of certificates (in case of accidental loss or destruction) and to ensure proof of your participation/attendance.

(External) speakers and experts

Purpose: Organization and undertaking of workshops and/or events through the assistance of (external) speakers and experts.

If you decide, as an external speaker or expert, to give a lecture during the workshops and/or events that are organized by ZSBH, we store the following personal data:

  • Last Name
  • First name
  • Academic title
  • Email address
  • Date of birth
  • Institution/organization that you are affiliated with/that you work for
  • Address of your institution/organization and your address
  • Bank and account information
  • Phone number
  • Name of the workshop and/or event during which you are presenting your lecture
  • Your compensation (expert’s fee) and your travel expenses
  • Evaluation results of the workshop and/or event

We process your personal data for the following reasons: The organization of registration and participation records for workshops and/or events and the accounting related to your compensation (expert’s fee).

Transfer of your data The members of ZSBH staff, who are responsible for the purposes stated above, have access to your data. Your personal data may be transferred only to the personnel department and/or finance department of JGU for the purpose of calculating and paying out your expert‘s fee and travel expenses.
Storage period/deletion of data In accordance with valid tax stipulations for the safe-keeping of documents, your personal data will be stored for a period of 10 years.
